How do I transfer tickets to the buyer?

Deliver sold tickets using the right handoff method, confirm delivery, and handle delayed transfers or a buyer who has not responded.

Once you have a paid order, open Orders → Sell → Manage, select the listing, and tap the buyer’s name under Orders. Check the tickets included, the delivery method, the buyer’s contact details, and the expected delivery time.

Send every ticket in the order, with the event, date, time and seats matching your listing. How you deliver them depends on the selected handoff method.

Instant E-Ticket Transfer

If you selected Instant E-Ticket Transfer, the files you uploaded with your listing are delivered to the buyer automatically after purchase. You do not need to send them again or mark them as transferred. Stay available in case the buyer needs help opening them.

Transfer through the original ticketing platform

  1. Open the platform where the tickets are stored and select the exact tickets in your Theatr order.

  2. Use its transfer option and enter the buyer’s email address or phone number shown in the order.

  3. Send the transfer and let the buyer know where to find the invitation.

  4. Follow the provider’s acceptance requirements and save the transfer confirmation.

An invitation being sent and the buyer accepting it can be separate steps. If the provider requires acceptance, wait for that confirmation before marking the transfer complete in Theatr.

Send a static ticket by email or text

A PDF or image can be used when the barcode stays the same and the original provider and venue allow that ticket format. Send the complete ticket using the contact details in the order.

Check that each file is clear, uncropped and shows the complete barcode or QR code. Include every ticket and check the event, date, time and seats.

A screenshot cannot replace a changing barcode or a required transfer through the original platform. A disabled transfer button alone does not establish that a screenshot can be used. If the allowed method is unclear, check the provider’s instructions before sending the file.

Box office pickup or an in-person handoff

Agree with the buyer on where and when the tickets will be handed over. For box office pickup, check whether the venue allows the buyer to collect them, whose name the tickets must be under, and what ID or other documents are required.

If the handoff will happen later, confirm the delayed arrangement in Theatr as described below. Confirming the plan is separate from confirming that the tickets were delivered.

If the tickets will be delivered later

Contact the buyer and agree on how and when they will receive the tickets. This may be needed when tickets have not been released yet or you have arranged a later pickup.

  1. Open the order and tap I can’t make the transfer right now, if that option is available.

  2. Tap I’ve confirmed with the buyer.

  3. Upload a screenshot showing that you confirmed the transfer timing with the buyer, then submit the confirmation.

This records the delayed arrangement; it does not mean the buyer has received the tickets. Deliver them at the agreed time and upload the final proof of delivery afterward. If the delayed-transfer option is not available, contact Support for help with the order.

Confirm delivery in Theatr

For delivery methods other than Instant E-Ticket Transfer, confirm only after the buyer has been given access to the correct tickets and any required provider acceptance is complete.

  1. Open the order under Orders → Sell → Manage → select listing → Orders → buyer’s name.

  2. Tap I have transferred the ticket(s).

  3. Upload proof of the completed delivery and submit the confirmation.

Use proof appropriate to your method, such as a platform transfer confirmation, a sent email showing the ticket attachment, the buyer’s acceptance, or confirmation of a physical handoff. The buyer can view it, so hide unrelated personal or payment information.

If the buyer is not responding or you cannot complete delivery

For an eligible static ticket, you can send the file to the contact details on the order and save proof without waiting for a chat reply. For a platform transfer that requires acceptance, an in-person handoff or a delayed arrangement, a sent message alone does not complete the required step.

If you cannot complete delivery, let the buyer know promptly. See How do I cancel or refund an order as a seller? for the action available on your order. A confirmed delayed transfer uses Refund Ticket(s) when available, even if the tickets have not yet been sent.

If the required action is missing or you need help coordinating delivery, contact Theatr Support. Continue in your existing conversation if you already have one.
